Sales Support Staff

This position is designed to be the interface between the sales department and all internal operations departments (i.e., Order Approval, Customer Service, Purchasing, Shipping, and Production).

Sales Order Follow Up

  • Review all Pending SOs over 2 weeks old, and Back Orders over 3 weeks old
  • Follow up with sales reps when pending payment, credit hold, etc. status code orders have been sitting and no recent notes reflect a reason
  • Follow up with Purchasing Department if back-ordered product does not have an open PO for stock
  • Assist sales staff with follow up on dealer and credit applications
  • Identify missing information and notify sales rep for follow up with customer
  • Provide forms and publication to dealers as requested
  • Email dealer applications, credit applications, spec sheets, and promotional incentives
  • Organize and maintain inventory of printed publications and supporting materials from dealers that can be mailed out to dealers at their request

Order Tracking

  • Coordinate with Shipping and Order Approval department to confirm shipping dates and update delivery date field in order
  • Provide and possibly track shipped orders as customers request, update Everest if necessary on D/S dates and tracking numbers

Customer Service on OPEN orders

  • Coordinate on some customer service issues that involve pending or open orders. This does not involve any follow up or customer support on invoiced items, or items being returned by customers. Those issues should be forwarded to the Customer Service department.
  • Contact vendors to ascertain D/S quotes when necessary
  • These quotes should be entered into Everest as a DROPFRT item, and concise notes should be added for the Purchasing department

Dealer Referrals

  • Receive and process dealer referrals from vendors by sending out dealer application, welcome letter, and terms & conditions
  • Forward all non-dealer requests to reception for follow up
Order Entry
  • As needed to cover early AM, vacations, lunches, etc.
